🚀 Getting Started
What is ManagerBhai?
ManagerBhai is an all-in-one, browser-based business manager built for Pakistan. One login gives you Accounting, Banking, Sales & POS, Purchases, Expenses, Inventory, Manufacturing, HRM & Payroll, Digital Khata, CRM and built-in FBR e-Invoicing — all sharing the same data, so an invoice updates stock, the customer balance and your ledgers in one go.
How do I create an account?
Open the Register page, enter your name, username, email, phone number and a password, then submit. Verify your email if asked, sign in, and you land on your dashboard. No credit card is needed to start.
I just signed up — what should I set up first?
- Company — add your business details under Accounts → Company.
- Settings — check currency, date format and document prefixes under Settings (System Settings / Form Prefixes).
- Chart of Accounts — review the default accounts under Accounts → Chart of Accounts and add your bank and cash accounts.
- Opening balances — enter them under Accounts → Opening Balance and your stock under Inventory → Opening Stock.
- Masters — add customers (Sales → Customers), vendors (Purchases → Vendors) and items (Inventory → View Items).
- Team — invite users and give them roles (profile menu → User Management).
Tip: click your name at the top right and choose Take a Tour for a guided walk-through of the screen.
Do I need to install any software?
No. ManagerBhai runs in any modern browser — Chrome, Edge, Firefox or Safari — on a PC, laptop, tablet or phone. There is nothing to install and no server to maintain.
Can I use ManagerBhai on my mobile phone?
Yes. The screens are responsive and work on mobile browsers, so you can check dashboards, record an expense or look up a customer balance from your phone. For heavy data entry (long invoices, vouchers) a laptop or desktop is more comfortable.
Is there a guided tour of the interface?
Yes. Click your name/avatar at the top right and choose Take a Tour. It highlights the left menu, the search bar, notifications and quick actions step by step. You can re-run it any time.
📊 Accounts & Banking
How do I access the Accounts module?
Click Accounts in the left sidebar. It contains the Accounts Dashboard, Chart of Accounts, Branch Accounts, Payment / Receipt / Journal Vouchers, Opening Balance, Period Closing, Company, Company Inter Transfer, Assets, Asset Depreciation, Budgets, View Ledger, Payment Instruments and Instrument Transfers.
How do I add a new account to the Chart of Accounts?
Go to Accounts → Chart of Accounts, click New, choose the parent group (Assets, Liabilities, Equity, Income or Expense), give the account a name and save. Bank and cash accounts, customer and vendor control accounts are created for you by the related modules.
Which voucher should I use — Payment, Receipt or Journal?
- Payment Voucher — money going out (paying rent, a supplier, a utility bill).
- Receipt Voucher — money coming in (a customer paying you, other income).
- Journal Voucher — adjustments with no cash movement (depreciation, accruals, corrections, reclassifications).
All three are under Accounts. Each one posts a balanced double entry automatically.
How do I view the ledger of an account, customer or vendor?
Open Accounts → View Ledger, pick the account (or customer / vendor), choose a date range and click view. You can print the ledger or export it to PDF / Excel from the same screen.
How do I enter opening balances when I move from another system?
Use Accounts → Opening Balance for account, customer and vendor balances on your start date, and Inventory → Opening Stock for the quantity and cost of each item. Enter everything as of one cut-off date (for example the first day of the month) so your trial balance matches your old books.
Can I manage more than one company?
Yes. Add each business under Accounts → Company. Transactions and reports can be filtered by company, and money moved between them is recorded with Accounts → Company Inter Transfer so both sets of books stay balanced.
How do I close a month or a financial year?
Use Accounts → Period Closing. Closing a period locks it so no one can post or edit entries dated inside it by mistake. Reconcile your bank accounts and review the trial balance before you close.
How do I record fixed assets and depreciation?
Register the asset under Accounts → Assets (cost, date, useful life, method). Then run Accounts → Asset Depreciation each period to post the depreciation entries automatically.
How do I record cheques I receive or issue?
Received and issued cheques / pay-orders are tracked as Accounts → Payment Instruments, with their due dates and status. Endorsing a cheque to someone else is done with Instrument Transfers, and cheques you write from a bank account go through Banking → Cheque Issue. Reminders alert you before a cheque falls due.
How do I access the Banking module?
Click Banking in the left sidebar: Banking Dashboard, Bank Payments, Bank Receipts, Accounts (your bank accounts), Transfers, Cheque Issue, Statement Import, Statement Posting and Bank Reports.
How do I add my bank account?
Go to Banking → Accounts, click New and enter the bank name, account title, account number and opening balance. The bank then appears in every payment and receipt screen.
How do I reconcile my bank statement?
Download your statement from your bank as a CSV file and upload it in Banking → Statement Import. Then use Statement Posting to match each statement line with an existing entry or post the missing ones (bank charges, profit, direct deposits). The Bank Reports page includes a reconciliation report.
How do I move money between my bank and cash accounts?
Use Banking → Transfers. Pick the "from" and "to" accounts and the amount; both sides are posted together.
🛒 Sales, POS & CRM
How do I access the Sales module?
Click Sales in the left sidebar. It holds the Sales Dashboard, Quotations, POS Terminal, POS Sales, POS Reports, FBR Status, Sales Orders, Invoice, Sales Returns, Revenues, Voucher Settlement, Customers and Due History.
How do I create a sales invoice?
- Go to Sales → Invoice and click New (or use the top-bar + → New Sale Invoice).
- Select the customer and the invoice date.
- Add items — quantity, rate and tax fill in from the item; press Ctrl+Enter for another line.
- Record any amount received now, then Save (Ctrl+S).
Saving updates stock, the customer's balance and your ledgers, and — if FBR is enabled — submits the e-invoice.
How do I turn a quotation into an order or invoice?
Create the quote in Sales → Quotations. When the customer agrees, open it and convert it to a Sales Order, and then to an Invoice when you deliver. The items and prices carry over, so nothing is typed twice.
How do I add a new customer?
Go to Sales → Customers and click New. Enter the name, phone, address and (for FBR) NTN / CNIC and province. You can also add a customer on the fly from inside a new invoice.
How do I see which customers owe me money?
Open Sales → Due History for outstanding invoices and payments by customer. For an aging view (0–30, 31–60, 61–90, 90+ days) and customer statements, go to Reports.
How do I receive payment against invoices?
Record the payment as a Receipt Voucher (cash) or Banking → Bank Receipts (bank), select the customer, and allocate it against the open invoices. For one payment covering many invoices, use Sales → Voucher Settlement.
How do I record a sales return?
Go to Sales → Sales Returns, click New, pick the original invoice and the items being returned. Stock comes back in and the customer's balance is reduced automatically.
How do I use the POS for counter sales?
Open Sales → POS Terminal (or top-bar + → POS Terminal). Scan barcodes or search items, take payment and print an 80mm receipt. POS sales share the same stock and ledgers as the rest of the system. Review past sales in POS Sales and shift / cash totals in POS Reports.
How do I track leads with the CRM?
Open CRM → Leads to see your pipeline, or CRM → New Lead to add one. Record follow-ups and notes, and convert a lead into a customer once it is won.
Can I customise how my invoice looks when printed?
Yes. Settings → Print Settings controls the logo, header, footer, colours and which columns show on printed documents. Your personal signature can be added under Account Settings → Signature.
📦 Purchases & Expenses
How do I access the Purchases module?
Click Purchases in the left sidebar: Purchase Dashboard, Purchase Orders, Invoices (supplier bills), Purchase Returns, Landed Costs, Vendors and Payments.
How do I record a purchase / supplier bill?
Go to Purchases → Invoices and click New (or top-bar + → New Purchase Invoice). Select the vendor, add the items with quantity and cost, and save. Stock increases and the vendor's payable is recorded automatically.
How do I pay a vendor?
Use Purchases → Payments to pay against open bills, or a Payment Voucher / Bank Payment for a general payment. Allocate the payment to the bills it settles so the vendor's balance stays accurate.
What are Landed Costs?
Freight, customs duty, clearing and loading charges that you pay to get goods into your warehouse. Record them in Purchases → Landed Costs against the purchase, and they are spread over the item cost — so your profit per item is correct.
How do I record a daily expense (rent, fuel, bills)?
Go to Expenses → Expense Details and click New. Choose the category and sub-category, who spent it (spender), the amount and the paying account. Set up your categories once under Expenses → Expense Category and Expense Sub Category.
Can expenses go through an approval before they are posted?
Yes. The account owner can switch on approvals under Approvals → Approval Settings. Entries that need approval wait in Approvals → Pending Requests and only reach the ledgers once approved.
🏭 Inventory & Production
How do I access the Inventory module?
Click Inventory in the left sidebar: View Items, Color, Type, Packing Unit, Opening Stock, Items Stock, Item Prices, Stock Issues, Stock Adjustments, Consumption Report, Stock Reconciliation, Warehouses and Warehouse Transfers.
How do I add a new item / product?
Go to Inventory → View Items and click New. Enter the name, code / barcode, unit, purchase and sale price, tax and (optionally) type, colour and packing unit. The item is then available on invoices, bills, POS and production.
How do I check current stock?
Inventory → Items Stock shows the live quantity of every item (per warehouse if you use more than one). Items running low are also flagged on the dashboard.
How do I correct stock after a physical count?
Use Inventory → Stock Adjustments to add or remove quantity with a reason (damage, count difference, expiry). The adjustment is costed and posted to your books. Stock Reconciliation helps compare system stock with your count.
Can I keep stock in more than one warehouse or shop?
Yes. Create each location in Inventory → Warehouses and move goods between them with Warehouse Transfers. Stock reports can be viewed per warehouse.
How do I set up production (manufacturing)?
- Define the recipe / bill of materials in Productions → Item Production Recipe — which raw materials and quantities make one finished item.
- Start a run with Productions → New Production. Raw materials are consumed and finished goods are added to stock at the right cost.
- Review past runs in Production History.
How do I send work to an outside party (job work)?
Use Outsourcing → Orders to record material sent to a third party and the goods received back. The Outsourcing Dashboard shows what is still out. For items sent out for fixing, use Repairs → Send for Repair and track them in the Repair Register.
👥 HRM & Payroll
How do I access the HRM module?
Click HRM in the left sidebar: HRM Dashboard, Employees, Departments, Employee Loans, Attendance, Mark Multi Attendance, Leaves, Salary, Contractors, Contractor Work / Processes / Rates, Item Processes, Contracts, Settings and Reports.
How do I add an employee?
Go to HRM → Employees and click New. Enter personal details, department, joining date and salary structure. The employee then appears in attendance, leaves and payroll.
How do I mark attendance for everyone at once?
Use HRM → Mark Multi Attendance to mark present / absent / leave for the whole team for a day in one screen. Individual corrections are made in HRM → Attendance.
How do I run monthly payroll?
Open HRM → Salary, choose the month and generate salaries. Attendance, leaves, allowances and loan instalments are taken into account. Review, then post and pay — the salary expense and payments go to your ledgers automatically.
How do I give an employee a loan or advance?
Create it in HRM → Employee Loans with the amount and instalment plan. Instalments are deducted from salary each month until the loan is cleared.
How do I pay piece-rate workers / contractors?
Add them under HRM → Contractors, set rates per process in Contractor Rates, and record completed work in Contractor Work. Their earnings are calculated from the work done and the agreed rates.
🧾 FBR e-Invoicing
Does ManagerBhai support FBR e-invoicing?
Yes. FBR (PRAL) Digital Invoicing is built into the sales invoice. Once your FBR settings are saved, each invoice is submitted to FBR when you save it and the FBR invoice number / QR code is printed on the invoice.
How do I set up FBR e-invoicing?
- Get your Bearer Token for Digital Invoicing from the FBR IRIS portal.
- Click your name (top right) → FBR Settings.
- Enter your NTN (or CNIC), registered name, province, address, default scenario and the token, then save.
- Make sure your customers have NTN / CNIC and province, and your items have their HS code and unit.
Where can I see which invoices reached FBR?
Open Sales → FBR Status. It lists each invoice with its FBR status (submitted / failed) and the FBR reference. Failed submissions show the reason so you can correct the data and submit again.
My invoice failed to submit to FBR. What should I check?
- Is the Bearer Token correct and still valid in FBR Settings?
- Does the buyer have a valid NTN / CNIC and province?
- Does every item have a valid HS code and unit of measure?
- Is the tax rate / scenario correct for the sale type?
Fix the data, then re-submit from Sales → FBR Status.
I don't need FBR. Can I turn it off?
Yes. FBR has a master switch in FBR Settings. With it off, invoices are saved normally and FBR fields are hidden.
📒 Digital Khata
What is Digital Khata?
A simple udhaar (credit) book for shopkeepers. Record "you gave" and "you got" entries for customers and suppliers in seconds, see who owes what, share statements and send payment reminders — without learning full accounting. Find it under Digital Khata in the left sidebar.
How do I add a quick udhaar entry?
Open Digital Khata → Quick Entry, pick (or add) the customer / supplier, enter the amount and whether you gave or got money, and save. The balance updates instantly.
How do I remind customers to pay?
Use Digital Khata → Khata Reminders to schedule or send reminders, and Khata Statements to share a statement of the account.
🔐 Users & Permissions
How do I add a user for my staff?
Click your name (top right) → User Management → Add User. Give them a username, password and a role. Each user logs in with their own credentials, and every action they take is logged under their name. The number of users depends on your plan.
How do I control what each user can see and do?
Click your name → User Permissions. Pick a role (or a user) and tick the permissions per module — view, create, edit, delete, approve. Menus and pages a user is not allowed to use disappear from their screen.
A menu or page is missing for me. Why?
Either your role does not include that permission, or the module is not part of your plan. Ask your account owner to check User Permissions, or look at My Subscription for your plan's modules.
Can I see what a user did?
Yes. Every create / edit / delete is written to an audit log. Each user can see their own actions under My Activity, and the account owner can review activity across the team.
🛡️ Security & Data
Is my business data safe and private?
Yes. Every business's data is isolated from every other account, passwords are stored hashed, every request is protected against forgery, and all changes are logged. Only people you add as users can see your data.
How do I change my password?
Click your name (top right) → Account Settings → Password tab. Enter your current password and the new one twice, then save. Forgot it? Use Forgot password on the login page.
How do I turn on two-factor authentication (2FA)?
The account owner can enable it under Settings → Security Settings → Two-Factor Authentication. Choose Authenticator app (Google Authenticator / Authy) or Email code; every user then needs the second step at login.
What is the Session PIN / screen lock?
A short PIN that unlocks your screen when you step away, so no one can use your logged-in session. Set it in Account Settings → Session PIN and lock the screen any time with Ctrl+Alt+O.
I deleted something by mistake. Can I get it back?
ManagerBhai never hard-deletes business records. If Settings → System Settings → Deletion Process is set to "Delete After Days", deleted records wait in a recycle period and can be restored before then. Ask your account owner or support for help.
How do I back up my data?
The platform takes automatic daily backups of the whole database. You can also export any list or report to Excel / PDF, and the account owner can manage backups under Settings → Backup Settings.
Can I see where my account has been logged in from?
Yes. Account Settings → Login History lists recent logins with date, time, IP address and device. If you see something unfamiliar, change your password immediately.
💳 Plans & Account
Is ManagerBhai free?
You can register and start for free with no credit card. Paid plans add more users, modules and capacity when you grow. See Plans & Pricing for exactly what each plan includes.
How do I see or renew my subscription?
Click the subscription badge / your name at the top right → My Subscription. It shows your plan, days left and a renew / upgrade button.
How do I contact support or report a problem?
Inside the app, open Complaints in the left sidebar and create a new ticket with a subject, priority, description and an optional screenshot. You can follow the ticket's status and our team's response from the same Complaints page.
Can I import my data from Excel or another software?
Bank statements can be imported directly (Banking → Statement Import). For customers, vendors, items and opening balances, enter them through the opening-balance screens or raise a Complaints ticket and our team will help you migrate.
